As an Office Supervisor, you’ll play a key role in keeping our practice running smoothly—supporting daily operations, coordinating front office and clinical workflows, and ensuring our team and patients have a positive experience every step of the way.

 

Working closely with the Operations Manager, you’ll help train team members, drive efficiency, and foster a collaborative, well-organized environment that reflects our shared values. Location: Lancaster & Wyomissing, PA

 

Work Schedule: 8:00 am - 5:30 pm, Monday - Friday & additional hours as needed. 

 

 

 

 

Responsibilities

  • Assist the Operations Manager in meeting production and operational goals.
  • Support the coordination of front office and clinical team schedules to ensure efficient daily operations.
  • Serve as a point of contact for staff questions and workflow support.
  • Monitor office cleanliness, organization, and readiness for daily operations, including supplies and meeting OSHA standards
  • Help train new employees on systems, processes, and daily expectations.
  • Assist with employee engagement efforts, including office events, recognition, and culture-building.
  • Coordinate and lead morning huddles or office meetings in the absence of the Operations Manager.
  • Support the implementation of marketing initiatives and community engagement.
  • Document minor staff issues and escalate more significant concerns to the Operations Manager as appropriate.
  • Ensure adherence to infection control policies and safety protocols.
  • Provide basic administrative support such as scanning, scheduling oversight, supply ordering, and data entry.
  • Assist with payroll accuracy by reviewing and confirming staff timecard submissions before manager review.
  • Serve as acting manager when the Operations Manager is off-site or unavailable.

Qualifications

  • 2+ years of dental, medical, or office supervisory experience preferred
  • Strong organizational and multitasking abilities
  • Effective interpersonal and communication skills
  • Basic knowledge of Microsoft Office (Outlook, Excel, Word)
  • Ability to maintain professionalism and discretion in handling confidential matters
  • Conflict resolution and team-building skills
  • Willingness to learn and grow within a supportive leadership structure
