Overview

Dr. J Pediatric Dentistry is seeking a highly organized, detail-oriented Operations Manager (OM) to lead the smooth and efficient operation of our pediatric dental office.

 

As the OM, you will own administrative processes and financial oversight, ensure seamless office flow, and provide strong support to our clinical, provider, and administrative teams. This role is pivotal in creating a positive, high-performing environment that empowers our dental team to deliver exceptional patient care.

Location: Greenfield, IN

 

Schedule: Monday - Friday 7:45am - 5:00pm

Responsibilities

Job Summary: The Operations Manager (OPM) is an important part of Chord Specialty Dental Partners operational leadership team. The OPM reports directly to the Regional Manager. The successful candidate will have a strong work ethic, be self-motivated and organized, and possess strong conflict resolution and leadership skills. The OPM will have responsibility for overseeing dental practice operations in a large dental practice, which offers multiple lines of service.  The OPM will be responsible for managing employee and patient relations and achieving operational and financial goals. The position includes responsibility for office profitability as a function of effective schedule management, collection of appropriate patient co-pays, staff productivity, and miscellaneous operational expenses. Operational responsibilities also include administrative tasks such as bank deposits, financial report reviews, staff payroll, scheduling and managing overtime.

 

Responsibilities:

  • Ensure all office staff are arriving ready to work: on time and in proper uniform.
  • Maintain office schedules, following Chord Specialty Dental Partners policies and procedures.
  • Implement Chord Specialty Dental Partners office policies and ensure that all staff members are following office policies.
  • Manage office within budget guidelines to include clerical and auxiliary supply purchases, equipment upgrades, etc.
  • Directly supervise office teams and proactively manage their performance and development, including but not limited to, performance feedback, corrective actions, and appraisals.  
  • Regularly communicate with office teams to ensure they have the tools, support, and information necessary to perform their jobs effectively and deliver superior patient care.
  • Complete administrative tasks such as reports, bank deposits, revenue postings, staff payroll, accounts receivable reports, and invoice processing within the designated deadlines.
  • Review, fix errors, and approve all designated employee’s timecards each day. Ensure all timecards are approved before the payroll cycle.
  • Responsible for the recruitment and onboarding of staff capable of providing the best patient care.
  • Objectively assess team members and provide honest, constructive and consistent feedback
  • Complete necessary OSHA 300, 301, and 300-A forms each year per OSHA standard 1904.29 and keep in binder locked in a cabinet of office.
  • Manage employee performance in accordance with company corrective action/discipline process.
  • Resolve all parent and employee complaints in office; report patient issue the Regional Manager.
  • Achieve budgeted goals and objectives based on office utilization goals.
  • Daily and weekly reports

Qualifications

What You’ll Need: 

  • Minimum of three (3) years of experience in a management position
  • Proven experience with KPIs, PNLs, and payroll
  • Demonstrated experience managing employee relations, including coaching, performance management, conflict resolution, and corrective action.
  • Good command of the English language, both verbal and written
  • Knowledge of Microsoft Office Suite including Outlook, Excel and Word

  • Excellent organizational skills and attention to detail
  • Ability to manage multiple priorities within a fast-paced environment
  • Ability to work well with doctors, patients, employees and others
